Job Title: Office Receptionist / Administrative Assistant

Reports To: Lead Pastor/Elder Body


We are seeking a friendly, organized, and detail-oriented Office Receptionist / Administrative Assistant to be the first point of contact for our office and provide essential administrative support to ensure smooth day-to-day operations. This role requires excellent communication skills, a professional demeanor, and the ability to multitask in a fast-paced environment.

Key Responsibilities

Reception Duties

  • Greet and welcome visitors in a professional, courteous manner
  • Answer, screen, and direct incoming phone calls & emails
  • Manage the front desk area, ensuring it is tidy and presentable
  • Receive and distribute mail, packages, and deliveries
Administrative Support
  • Schedule and coordinate meetings, appointments, and facility usage  
  • Maintain Church calendars and assist with scheduling for staff/Ministry Leaders
  • Update website event calendar to match upcoming events and activities
  • Prepare and edit documents, reports, and correspondence such as church bulletin and church promotional materials designed on Canva. 
  • Maintain and organize filing systems (electronic and paper) 
  • Order and track office supplies and inventory
  • Support Church Leadership (e.g. Elders, Deacons, Ministry Leadership Team) with administrative tasks as needed

Qualifications

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred) 
  • Previous experience in a receptionist or administrative role preferred
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and basic office equipment
  • Willingness to learn Shelby Next Church Management System, CloverSites website editor, Canva, etc. 
  • Professional appearance and positive attitude
  • Ability to maintain confidentiality and handle sensitive information

Position Details

Work Environment & Schedule

  • Church Office Hours: Mon–Thurs, 9 AM – 5 PM
  • Expected Work Hours: 20-25 hrs/wk. 
  • Office-based role with occasional light lifting (up to 20 lbs) for supplies

Compensation & Benefits

  • Salary Range: $0-29K annually
  • Benefits: Two Weeks Vacation, Limited Phone Reimbursement
